Privacy Policy & Data Handling Directive
Effective Date: October 12, 2025 | Document Ref: SFC-LEG-041A
This Privacy Policy outlines the operational procedures and protocols established by Sentinel Federal Consulting ("Sentinel", "we", "our", or "the System") regarding the collection, processing, encryption, and disposition of data interacting with our infrastructure.
1. Information Collection Architecture
The System is engineered to collect minimal required data to execute federal contracting intelligence operations. Data vectors include:
- Identity Metrics: Name, agency/corporate affiliation, clearance level (if voluntarily provided), and contact coordinates.
- System Telemetry: IP addresses, cryptographic handshake logs, interaction timestamps, and module utilization rates.
- Contractual Inputs: RFPs, SOWs, and proprietary capability statements uploaded into the secure enclave for analysis.
2. Data Processing & AI Utilization
Sentinel employs advanced Natural Language Processing (NLP) and machine learning algorithms to parse federal documents. Crucially: Client-provided proprietary data is sandboxed. It is never used to train foundational models outside of the client's specific isolated tenant environment.
3. Federal Compliance & Sovereignty
In adherence to government contracting standards, all data ingested by Sentinel Federal Consulting is subject to strict data sovereignty controls:
- 100% of data is stored on servers physically located within the continental United States (CONUS).
- Infrastructure is maintained exclusively by US Persons (USP).
- System architecture aligns with NIST SP 800-171 controls and is actively progressing toward FedRAMP High authorization.
4. Third-Party Data Transmission
Sentinel operates a zero-trust architecture regarding external APIs. We do not sell, rent, or unauthorizedly distribute data to commercial entities. Transmission only occurs:
- When explicitly directed by the user to interface with SAM.gov or other authorized federal portals.
- To compliant, US-based infrastructure providers (e.g., AWS GovCloud) operating under strict Business Associate Agreements (BAAs) or equivalent secure contracts.
5. Retention and Destruction Protocols
Data lifecycle management is strictly enforced. Upon termination of service or explicit user request, all client-specific data is cryptographically shredded. System logs are retained for 365 days solely for security auditing and compliance verification, after which they are permanently purged.
6. User Rights & Access Controls
Authorized personnel may request an audit log of their data interactions, export their proprietary inputs, or initiate a deletion protocol by contacting the Security Operations Center (SOC) at compliance@sentinelfederal.com.
